EVENT RULES & REGULATIONS

The following event rules and guidelines are intended to produce and direct a safe public event, ensuring safety of all participants, to meet with local government permits and to comply with Scottish Athletics regulations for participant performance records and event liability.

 

All entry fees are non-refundable and West Lothian Run reserves the right to refuse entry to anyone declaring false information on their entry form, not making the required payment, or failing to meet the stated entry requirements.

 

PARTICIPATION

 

v       To take part in the half marathon entrants must be 17 years of age or older on race day.
v       The Easter 2k, 5k and Santa 2k run are open to children of all ages, however they must be accompanied by a responsible Adult and              must not be left unattended or unsupervised at any time.
v       All members of the relay team must be 15 years or older on race day with each team member running approximately 3.3 miles.
v       All participants must agree and sign the disclaimer before participating in the event.  All participants take part at their own risk
         waiving any claims against West Lothian Run or any party acting on our behalf.

v       Participants must be physically capable of completing the full distance from start line to finish line, within the event time
         requirement of 3 hours at a
13.75 minute mile pace.
v       The event time requirement and age limit applies to all forms of entry and event participation.
v       By taking part, all participants confirm they are consenting to their names and any footage or photographs during the event may be
         used to publicise any future West Lothian events.

v       Participant race numbers are specified personal identifiers and may not be exchanged with, transferred or sold to any other person. 
         Sale or transfer of numbers are strictly prohibited and will result in disqualification and/or banning any individuals from future
         events.

v       Registration closure is determined and announced when the event participation reaches the established capacity for the event.
West Lothian Run operates an Open to all Policy, however, the Easter Run held in Beecraigs Country Park is more Cross Country and           is not suitable for Wheelchair Participants. Any wheelchair participants wishing to enter this race , do so at their own risk with no               liabilities towards West Lothian Run

 

RACE DAY

 

v       Participants must follow instructions as given from any event officials including race staff, volunteers, medical personnel, security
         officers throughout the duration of the event.

v       All participants are expected to conduct themselves in a professional and courteous manner during the event.
v       Every participant will be provided with an event number, this should be worn on the front, no participant shall be permitted to
         participate in the event without the appropriate number.

v       All participants must write their name and details of any health problems or medication of the reverse of the race number, which
         must be worn on the front of shirts during the race.

v       Baby joggers, prams, skateboards, rollerblades, unauthorized bicycles or any other wheeled devices will not be permitted on the
         course.

v       Participants must begin the event during the official starting times.
v       The course will remain secure until the 13.75 min mile pace.  The sweep bus will operate at 13.75 minute mile pace.  If you are            passed by the sweep bus your status reverts back to that of a pedestrian and you are expected to use the pavement if you decide to
         continue.  We strongly advise against continuing and will ask you to join the sweep bus, if you decide to continue we will be unable
         to guarantee that road closures, marshals and drinks stations will be in place.  Please give careful consideration to your ability to
         complete the course in the allotted time.

v       All participants must acknowledge and agree that personal information including medical information entered on their race number
         or collected by event medical staff during or after the event can be stored, used disclosed by West Lothian Run in connection with
         organization, for the compilation of statistical information.

 

THE START

 

v       Participants should assemble no less than 15 minutes prior to the race start.
v       Any person who climbs the fence/barrier or otherwise enters improperly shall be disqualified from the event.
v       All participants must be positioned behind the starting line.

 

COURSE MONITORING

 

v       Any participant refusing to obey the directions of event officials or course marshal, or conducts themselves in an unsportsmanlike
         manner, or who is offensive by action or language to officials, volunteers, participants or spectators may be disqualified from the
         event and banned from future participation in any West Lothian Run event at the discretion of the race officials.

v       Any participant who has been found by a course marshal or event official to have gained an unfair advantage by intentionally
         shortening the route (cutting the course) shall be immediately disqualified from the event and banned from future participation in
         any West Lothian Run event at the discretion of race officials.

v       Any person who participates in the event without a current official event number not officially assigned to him/her is subject to
         removal and disqualification from future events.

v       No persons are authorized to be on the course unless they are registered participants. Therefore, no person shall be allowed to
         accompany if he/she is not registered in the event, nor shall any participant be allowed, without the permission of the event
         officials, to receive assistance or refreshment from anyone during the progress of the event.  Any person not properly displaying an
         authorized and issued number shall be directed to leave the course.

v       A hands-on medical examination during the progress of the event by officially designated medical personnel shall not be considered
         assistance and will not result in disqualification if the participant is deemed medically fit.  If a participant becomes ill during or after
         the event and receive medical attention or treatment from event medical staff, doctor or hospital they must authorise such persons
         to provide details (including details of medical treatment) to the race director of  West Lothian Run or other authorized officials.

 

PARTICIPANT SAFETY

 

v       The use of wheeled devices by participants is strictly prohibited only authorized bicycles i.e. course marshals, police shall be 
         allowed.

v       Participants are responsible for their recognition and understanding of event signage, symbols and colour relating to participant
         maps, facilities and direction.

v       Medical personnel authorized by the event to do so may examine any participant who appears in distress.  If in the sole opinion of
         authorized personnel it is in the best interests of the participant’s health and welfare, medical personnel may remove the participant
         from the event.

v       Participants must retire at once from the race if instructed to do so by a member of the events official staff, or any other
         governmental authority, including fire and police officers.

v       Participants are responsible to assume liability for any medical expenses incurred as a result of training for and participation in the
         event, including but not limited to ambulance transport, hospital stays, physician and pharmaceutical goods and services.

v       Event officials reserve the right to delay, cancel or suspend the race due to inclement weather in accordance with emergency
         protocol on severe emergencies.  No refund will be issued in these circumstances.

 

EXCEPTION

 

v       Any individual requesting a waiver of any of these rules from the event shall submit a written request no less than 30 days prior to
         the event date specifying the nature and reasons for the request.

 

AMMENDMENTS

 

v       Event officials reserve the right, to modify, supplement or waive all or part of the event rules.
v       Participants shall be bound by any modification or supplement of the event rules published prior to the event.
v       Failure to follow these event rules, as may be amended, will result in immediate disqualification, loss of prizes and removal from the
         official results.

v       West Lothian Run follows, and participants are subject to, the rules specified by the Scottish Athletics, please visit
         www.scottishathletics.org.uk for additional information concerning the rules mandated by the governing bodies for the sport.

 

DISCLAIMER

 

In order to run in the Half Marathon/Relay, runners must agree to the following disclaimer: 

 

I declare I will be 17 years or over (over 15 for the relay team) on race day and will abide by the laws and rules of Scottish Athletics.  I declare that I will not compete in the race unless I am medically fit on race day and that, in any event, I will compete at my own risk.  I accept that organisers, sponsors and, marshals will not be liable for any loss, damage, action, claim, costs or expenses, which may arise in consequence of my participation of the event.  Entry is personal to the applicant and cannot be sold or transferred.  I give my permission for West Lothian Run to use my name, quotes and photographs for marketing and promotional purposes.  I understand that entry fees are non refundable.  No animals, aids roller skates or bicycles are permitted on the course.
